Supplier onboarding software · UK

Supplier onboarding without the email ping-pong.

Invite a supplier, send them the forms and documents you need, and approve them from a single review queue. Supplio replaces the spreadsheet-and-inbox onboarding scramble with a branded portal and a clear pipeline, at pricing you can read before you talk to us.
The problem

Onboarding a supplier is a paperwork relay.

Most supplier onboarding still runs on email and a spreadsheet. You ask for a certificate, chase it a week later, get the wrong version, lose it in a thread, and repeat that across insurance, bank details, policies and a questionnaire. Nobody can tell you at a glance which suppliers are actually ready to trade.

Supplio turns that into a defined flow. The supplier does their part in a portal that carries your branding, and your team works a review queue instead of an inbox. When a supplier is approved, all of their onboarding evidence is already structured against their record, ready for the compliance work that follows.

What you get

Everything the onboarding handoff needs.

Every capability below ships today and is reachable in the product. No roadmap features on this page.

Supplier onboarding

Invite a supplier, send them onboarding forms, and review submissions in a queue where you approve or request changes.

Branded supplier portal

A self-service portal your suppliers log into, carrying your logo, accent colour and welcome message.

Document store with expiry tracking

Store the documents suppliers upload, with expiry dates and automatic reminders as they approach.

Certification tracking

Record each supplier certification with its issuing body, issue and expiry dates, and live status.

Rule-based automations

Configure rules that react to supplier events, and configurable approval workflow stages.

Immutable audit log

Every change is recorded in an immutable, filterable audit log you can export to CSV.

How it works

Invite, collect, review, approve.

1. Invite the supplier

Send an email invite with an expiry. The supplier sets up access to your branded portal, so their first impression is your brand, not a generic login. You can resend or revoke an invite at any time.

  • Email invites with expiry
  • Resend or revoke in a click
  • Your logo, colour and welcome message

2. Collect forms and documents

The supplier completes your onboarding questionnaire and uploads the documents you require, each with an expiry date where relevant. Certificates and insurance are captured as structured records, not loose attachments.

  • Onboarding questionnaires
  • Document upload with expiry
  • Certifications captured with issuing body and dates

3. Review and approve

Your team works a master-detail review queue: assign a reviewer, read the submission, leave notes, then approve or send it back for changes. The pipeline shows exactly where every supplier sits, from invited to approved.

  • Assign a reviewer
  • Notes and request-changes loop
  • Clear invited-to-approved pipeline

Supplier onboarding, answered.

What is supplier onboarding software?+
It is software that structures the process of bringing on a new supplier: collecting their documents, certificates and answers to your questionnaire, then reviewing and approving them. Instead of chasing files by email, you send an invite, the supplier submits everything through a portal, and your team approves from one place. Supplio does exactly this, with the onboarding evidence carried straight into ongoing compliance tracking.
Do my suppliers have to pay to use the portal?+
No. The supplier portal is free for your suppliers on every Supplio plan. You pay for your own workspace; your suppliers onboard, upload documents and respond to requests at no cost to them.
Can I require specific documents and certificates during onboarding?+
Yes. You set the onboarding questionnaire and the documents you need, and suppliers upload them through the portal with expiry dates. Certificates are captured as structured records with issuing body, issue and expiry dates, so they can be tracked and chased automatically once the supplier is live.
What happens after a supplier is onboarded?+
The evidence collected at onboarding becomes the start of the supplier's compliance record. From there Supplio tracks document and insurance expiry with automatic reminders, manages risk and corrective actions, and scores the supplier. Onboarding is the front door to the wider platform, not a separate silo.
How much does Supplio cost?+
Supplio publishes its full price list in GBP: Starter at £599 a year, Growth at £1,199, Scale at £2,399, plus a custom Enterprise plan. Monthly billing is available and there are no hidden fees. You can size a plan yourself before speaking to us.
